How to choose an AI receptionist for your small business.

Choose the AI receptionist that handles your most common calls perfectly, books straight into the systems you already use, hands off to a person cleanly, and leaves you owning your data. Test it yourself with real call scenarios before you commit.

Updated October 24, 2026 · Vendor neutral checklist

  1. Start with your calls, not the software. Pull a week of calls. Sort them into bookings, questions, urgent and everything else. The right receptionist handles your biggest group perfectly and hands off the rest cleanly.
  2. Call it yourself, five different ways. Call as a new customer, an angry customer, someone with an urgent problem, someone outside your service area, and someone who wants a person. Listen for whether it sounds natural, gets the facts right and knows when to hand off.
  3. Test the booking end to end. Book a real appointment and check that it lands on the right calendar, with the right duration, address and notes, and that the caller gets a confirmation.
  4. Check where the information goes. Every call should leave a summary in your CRM or inbox. If it only lives in the vendor’s dashboard, your team will not use it.
  5. Ask about disclosure and consent. It should tell callers it is an assistant. If it will call people back, your forms need consent language and a record of when consent was given.
  6. Know what you own. Ask what happens to your numbers, recordings, call data and setup if you leave. Owning your accounts protects you.
  7. Measure it in dollars. Decide up front how you will measure success: calls answered, jobs booked and revenue from those jobs. Review it after 30 days.
Red flags
  • It will not say it is an assistant
  • You cannot reach a person
  • Call data only lives in the vendor's dashboard
  • Long contracts before you have heard it on your own calls
